Product Classifications
Product Classifications provide the structure for indicating the GL codes a product will go to, as well as any taxes and fees that are applied to a product. There are currently six different types of product classifications, one for each product type:
Each product classification functions nearly identically, with minimal differences between product types. Each type of product classification is separated into different pages for convenience. Classifications are powerful as they allow you to set up common and reusable accounting behaviors, giving you control over:
- GL Codes
- Liability GL Codes
- When revenue is recognized
- Associated taxes and fees
- SnowPay processing fees (absorbed in price or as an additional fee)
The product classification pages are located under Accounting > Product Classification.
Creating a new Product Classification
- Navigate to the product classification page for the desired product type
- Click the ➕ button in the upper right corner of the page to open the Add Product Class menu.
- Select the season this classification will be used for, or select Any if creating a classification that may be used across seasons.
- (Optional) Select relevant activities.
- Enter a title for the new product classification. This title will only be used within the portal for assigning products to the class and in reporting. This title will not be used in any guest facing applications.
- (Optional) Give a description for the classification to give your team members more context on what the classification is for.
- Select the Cash GL Code that all products using the classification will account to.
- Select the SnowPay fee method for all products using the classification, between the options:
- Account Pays Fee: 5% of the final price after taxes and fees will go to SnowPay fees.
- Consumer Pays Fee: 5% of the total price after taxes and fees is added to produce the final price. For more details, review the charge hierarchy.
- Click Save New Class.
After saving the classification, additional options should become available in separate section of the page, depending on the type of classification. All classification types will allow you to add taxes and fees to the classification. To do so, click the ➕ button in the upper right corner of the Taxes / Fees section of the page to open the Add Tax/Fee menu. From here, you can review all configured taxes and fees, their amounts, and their associated GL accounts. Click Add to apply the tax or fee to all products of this classification.
Certain types of classifications will require additional information. Each type’s special configuration options are detailed below:
Access Products
Access products have two additional configuration options: Deferred revenue recognition and guest profile requirements.
Deferred Revenue Recognition
Deferred revenue recognition allows you to determine when revenue will be recognized in accounting reports. If a purchased product hasn’t been recognized yet, its revenue can instead be placed in a liability GL account. There are four recognition options:
- Recognize all revenue at time of sale: No liability GL account needs to be set up. All revenue from access products in this classification will be recognized the moment the transaction is processed.
- Recognize all revenue on inventory date of usage: All revenue from access products in this classification will be recognized when the entitlements attached to the product have been activated. Until then, the revenue is put in the specified deferred GL account.
- Recognize a portion of revenue on pre-set dates: This option requires you to set up an accrual schedule, where you can specify on what dates a percentage of the revenue will be recognized. As these dates pass, a portion of the revenue associated to products of this classification will move from the deferred GL account to the cash GL account.
- Recognize a portion of revenue periodically: This option requires you to set up an accrual schedule, where you can specify how long after a sale revenue from products associated with this classification will be recognized. This is more dynamic than the previous option, and is more suited for perpetual products.
Guest Profile Requirements
Guest profile requirements allow you to require additional guest information when purchasing a product. By default, only guest name is required. Certain rental entitlements will add additional profile requirements for rental calculations. Additional guest profile requirements can be added from classification setup. You can additionally require:
- Photo
- Date of birth
- Gender
- Height
- Weight
- Shirt Size
- Pant Size
- Shoe Size
- Activity Preference
- Activity Skill Level
Toggling these requirements will ensure that this information is collected as guests are purchasing the products assigned to this classification.
For waiver functionality, date of birth is required for legal compliance.
Gift Cards
Gift card classifications must be configured with a liability GL code, where excess funds that have not been used in a purchase will be attributed.
Lessons
Lessons have the same additional configuration options as access products. They are explained in detail in the deferred revenue recognition and guest profile requirements sections.
Retail Products
Retail products allow for GL overrides. Revenue from products of this classification will go to different GL accounts depending on where the product was sold in.
Rentals
Rentals have the same additional configuration options as access products. They are explained in detail in the deferred revenue recognition and guest profile requirements sections.
F&B Items
F&B items allow for GL overrides. Revenue from products of this classification will go to different GL accounts depending on where the product was sold in.
