Inventory Calendar
The inventory calendar dictates when your products will go on sale, how many can be sold, and allows you to set up pricing tiers. Navigate to it by clicking on the products menu. Click on the Inventory Calendar under “Activity Products”.
Here you’ll see the inventory calendar. There are a couple of different view modes and filters you can use, to help you make sure you’re seeing what’s most relevant to you.
Adding Inventory
There are two ways to add inventory to the calendar. The first is to click the time/date on the calendar you would like to add the inventory to, or, by clicking on the add inventory button in the top left corner.
Next, you’ll get a pop-up with a few different inventory options:
- Date-Specific: Use this mode for products that will be only valid on specific dates. Guests will need to select a date. If the access entitlement on this product has a rule requiring an inventory date, then this product will only be valid on the date selected at purchase.
- Date & Time-Specific: Use this mode for products you would like to set up time slot inventory for. Guests will select a date, then select from available time slots.
- Date Range or Quantity Inventory (Multi-Use Products): Use this mode for any products that are not locked into a specific date. For example, multi-use tickets, season passes, or anytime use tickets. You’ll be able to set up a range of time the products will be available on sale for.
You can click on any of the options for more information regarding that inventory style. When you’re ready, click on the style you’d like to use, then create. Next, select the product you’re adding to the calendar. By default, only Tickets & Passes are shown. Use the filters at the top of the menu to find the product you’d like to add. Click “Add” on the right side of the row of the product you’re adding.
For Date-Specific products, you can now specify the date the inventory will be sold for. For Date & Time-Specific products, you can select the date and time slot. For Date-Range products, you can specify the period of time this product will be available for sale.
Specify the quantity of product you’d like to be available for sale. Leaving this blank will put an unlimited number of tickets available. By default, there won’t be any discount on this inventory. If you’d like to add dynamic quantity based pricing, enter the greatest discount that will be available for this product. For quantity, specify how many will be sold at that price, or leave blank to sell unlimited tickets on this date at a discounted price. You can then specify what will happen after the limited quantity of discounted tickets is sold:
- Stop selling any more tickets
- Continue to sell an unlimited number of non-discounted tickets
- Move to another discounted pricing tier Depending on which option you select, you might be prompted to add another discount tier, or the menu will close. Once the menu closes, you will be able to see the inventory on the calendar, and it will be available for guests to purchase if it has been added to a shop menu, and that shop is online.
Clicking on the newly created inventory in the calendar will open up the quantity discounting menu again. You can choose to create an inventory schedule to repeat the inventory you set up for the rest of your season. You can also remove the inventory from the calendar.
If you remove inventory from the calendar, remember that anything already sold will not be automatically refunded. Any tickets sold from the deleted inventory will still validate.
